About The Role

We have an opportunity for an Office Manager to join our Glasgow office. 
 
This will be a general administrative role where you will be responsible for the effective management of the office. This includes managing IT assets, ordering stationery for the office, and generally ensuring that the office is a safe, clean, and pleasant place to work.
 
Please note this is an office based role. 
 
Responsibilities and Duties:
Prepare purchase orders in accordance with requests.
Assist with the process of payments, invoices, income and receipts.
Liaise with HR to update, maintain and implement office policies as necessary.
Liaise with IT department on all IT equipment.
Liaise with Compliance Administrator to assist with internal/external audits for various certifications.
Welcome and provide general support to visitors.
Assist in the organising of visitors and visits.
Assist in the onboarding process for new employees including updating and maintaining office personnel records. 
Maintain the office condition and arrange necessary repairs.
Organise the office layout and maintain supplies of stationery, equipment and office sundries.
Schedule meetings and appointments within the office.
Assist with travel requirements and accommodation for staff when required. 
Handle all mail, shipping, packages and deliveries.
Provide administrative support when needed.
Promote the company culture.
The duties, roles and responsibilities of the post and the methods of working may be amended from time to time.

About You

Essential criteria:
  • Working knowledge of Office 365 applications (Outlook, Word, Excel, Sharepoint etc).
  • 2-3 years experience working as an Office Assistant or comparable work experience.

  • Good verbal and written English.
  • Highly numerate.
  • High attention to detail.
  • Highly motivated and able to work well autonomously or as part of a team.
  • Ability to develop strong relationships with colleagues, suppliers and external service providers.
  • Ability to thrive in a pressured work environment and remain calm under pressure.
  • Highly presentable with excellent interpersonal and communication skills.
  • Excellent telephone manner and email etiquette.
  • Confident.
  • A flexible can-do approach.
